Not every discussion needs a calendar invite. This tool helps you decide whether a topic is better handled asynchronously (via Slack, email, or a shared document) or warrants a live meeting.

By evaluating six key factors, the calculator produces a clear recommendation along with a suggested format, so you can communicate effectively without wasting anyone's time.

How It Works

The tool evaluates two competing scores based on six input factors.

Both scores are normalised to percentages and compared. If one clearly outweighs the other (by more than 30%), you get a firm recommendation. Otherwise, the tool flags it as borderline and tells you which direction to lean.

Example Scenarios

Status Update to 3 People

Low complexity, no urgency, minimal discussion needed, documentation important. Result: handle this async. A short Slack message or email with bullet points is ideal.

Cross-team Feature Decision

High complexity, moderate urgency, 5-7 stakeholders, significant discussion needed, major importance. Result: schedule a meeting. A 30-minute working session ensures alignment.

Quick Bug Triage

Moderate complexity, high urgency, 3-4 stakeholders, some discussion needed. Result: schedule a meeting. A focused 15-minute call gets the right people aligned fast.

Quarterly Planning Kickoff

Very complex, moderate urgency, 8-12 stakeholders, essential discussion, critical importance. Result: definitely schedule a meeting. Block 45-60 minutes for thorough discussion.

Interpretation

The recommendation falls into one of three categories.

The confidence percentage tells you how decisive the result is. Above 70% means a clear-cut case. Between 55% and 70% suggests the decision is less obvious, and you should weigh team context carefully.
